An aesthetician gives a facial treatment while a face-down phone glows softly indigo on the trolley.

An aesthetic center’s Instagram inbox: a before/after Reel on filler has gone viral, and hundreds of comments have piled up under the post: "price?", "how many sessions?", "would it work on me?", "how do we book?". At the same time, five people are writing on WhatsApp, one of them from abroad in English. Reception can’t reply to all of them within two minutes; every consultation request answered late goes to another center. This article explains how to set up aesthetic center Instagram DM automation along with WhatsApp and comment replies on inTusell, with steps that require no technical knowledge and respect privacy.

This article is the channel leg of the aesthetics section of our sector-based "how to train your AI" series. You’ll find the AI-training side in the series’ main article, AI training for aesthetics; the daily operations in how an aesthetic center uses inTusell; and the appointment engine in aesthetic consultation and appointment automation.

Quick answer

Summary

Aesthetic centers connect Instagram DM, comments and WhatsApp to inTusell and work from one inbox. WhatsApp connects with a QR, no Meta Business approval needed; Instagram connects through your Meta account. The AI writes a reply 24/7 in the client’s language and steers toward a consultation. It leaves medical questions and procedure decisions to the specialist and hands off when needed. A new healthcare account starts in Full approval: the AI drafts the reply and it goes out once you approve; after you switch to Intern, the AI sends it itself.

The channel reality of an aesthetic center

Consultation requests don’t come from a single channel. A before/after Reel goes viral and the comments explode; someone else who saw the same post writes on WhatsApp; a third reaches you through the chat bubble on your website. Outside of a campaign, this scatter is manageable, but not during a busy period, a discount week, or the day you announce a new laser device.

inTusell is an AI sales assistant and CRM that answers messages on WhatsApp, Instagram and web chat, books appointments and opens orders, and follows each customer through the sales pipeline; it is not a simple chatbot. At an aesthetic center it collects all of these channels in a single inbox and connects each one to the same assistant, trained to act like an experienced client coordinator. The assistant understands the client’s request and suggests the right service and consultation appointment; it leaves the medical question and the "which procedure is right for me" decision to the specialist, does not diagnose, and does not promise results.

Who is it for?

This article is for aesthetic / beauty businesses that can’t keep up with the speed and volume of incoming demand through a single channel. Typical profiles:

  • Medical aesthetic centers and dermatology clinics (botox, filler, laser) receiving dozens of consultation requests a day from Instagram and WhatsApp.
  • Laser hair removal and skincare centers facing a flood of comments from before/after and campaign posts.
  • Beauty salons offering permanent makeup and skin analysis, whose inboxes fill with repetitive questions.
  • Centers working with international clients (health tourism) that lose demand because they can’t reply in multiple languages.
  • From a one-person reception to a multi-branch chain; the more channels, the greater the benefit.

Connecting WhatsApp: QR today, the official line after Meta approval

WhatsApp is the busiest channel for an aesthetic center. Today you connect with a QR, and for most centers that method is enough.

MethodSetupMeta Business approvalBest for
QR connectionScan a QR code with your phoneNot requiredMost centers wanting to use their existing number
Official line (Cloud API)Opens after Meta approvalRequiredHigh-volume organizations wanting an official API guarantee

The QR method works like connecting WhatsApp Web. In the panel you go to My business › Channels › Messaging Channels and click "Connect with QR"; on your phone you scan the code under WhatsApp › Settings › Linked Devices › Link a Device. The number stays the same and your phone keeps working. Nothing changes on the client’s side; they keep writing to the same number. You don’t need to change your number or get a new line.

If the panel is open on the same phone, you can’t scan the QR with it; in the same window choose "Link with phone number" instead. Enter your number and an 8-character linking code appears; on the phone go to WhatsApp › Settings › Linked Devices › Link a Device, tap the option to link with a phone number and type the code.

The official WhatsApp line (Cloud API) opens after Meta approval; today you connect with a QR code or with an 8-character linking code for your phone number. A QR line can drop if the phone stays offline for a long time; the panel warns you and the link reopens the QR window. The AI replies only in one-to-one chats and never writes in WhatsApp groups.

Instagram DM automation

Instagram connects through Meta login: in the panel you click "Connect All" or the Instagram tile, then pick your Facebook Page and your Instagram account on the Meta screen. Your Instagram account must be a professional account linked to a Facebook Page. You don’t copy any codes or keys by hand.

After connecting, DM replies are already on. The AI replies to incoming direct messages, and there is no extra switch to turn on. If you want the AI to stop answering DMs, turn off "Instagram DM" in the channel list in the AI settings; your team then answers DMs.

DM matters especially in aesthetics: most consultation requests come in there after a story or a Reel. The AI understands the incoming request and finds the right paragraph about the service in the knowledge base. Where appropriate, it suggests a consultation appointment; when a price or a medical assessment is involved, it routes the client to the specialist.

Instagram comments: their own switch and an invitation to DM

At aesthetic centers, post comments are a hidden consultation channel, but at the same time the most sensitive area in terms of privacy. Comments like "price?", "how many sessions?", "would it work on me?" rain down under before/after posts, and most go unanswered.

In inTusell, comment replies are switched on or off with the "Instagram comments" switch on the Instagram card; that switch is on by default. DM replies are already on once Instagram is connected. Having their own switch matters especially in aesthetics: price and medical details should not be discussed in public comments. The AI writes one public reply to each comment; it does not reply to spam comments with links, which you hide or delete from the panel. Replying by private message (Reply with DM) opens after Meta approval. If you connected Instagram before September 24, 2026, the panel shows a "Reconnect Instagram to manage comments" warning; until you reconnect once, comments get no AI reply.

The typical flow is set up like this:

  1. The client writes "price?" under a post.
  2. The AI leaves a short, neutral public reply on the comment ("It varies by person; send us a DM for the details").
  3. When the client sends a DM, the conversation continues there and the AI replies: it asks about the request and suitability and suggests a suitable consultation appointment.

This way, price or health details aren’t discussed in a public space; the sensitive conversation continues in the DM. For client privacy this is the right flow, and you also avoid marketing prices in public.

A single inbox (web chat, Telegram)

Instagram and WhatsApp are the busiest, but not the only channel. inTusell collects all of these channels in the same inbox:

ChannelConnection methodTypical aesthetics use
Instagram DMMeta loginConsultation requests after Reels/story
Instagram commentsMeta login + "Instagram comments" switch (on by default)"price?" comments under before/after
WhatsAppQR today; official line after Meta approvalThe busiest appointment channel
TelegramBot connectionClients writing to the center’s bot
Web chatOne line of code on the siteSite visitor consultation questions

For the team, this means no jumping between different apps. All conversations appear on a single screen, with the same client history. A client who starts on WhatsApp and continues on Instagram stays in one context, not two separate conversations.

You can see in detail how the channels work and what they integrate with on the solutions and integrations pages, and review the aesthetic-center-specific setup on the aesthetics solution page.

24/7 and multilingual replies

A significant share of consultation requests come outside business hours: someone who sees a Reel in the evening writes at night, and an international client messages across the time difference. The AI does not sleep, but the mode decides when the reply goes out. In Intern, demand that arrives at night does not wait until morning, and if you have set your working hours or appointment types the AI can even book a consultation appointment in a suitable slot. In Full approval, where a new healthcare account starts, the AI drafts the reply at night and it goes out once you approve.

Multilingual replies are decisive for centers that work in health tourism. Many laser, skincare and medical aesthetics clients come from abroad. Whatever language the client writes in, the AI replies in that language: English to someone writing in English, Arabic to someone writing in Arabic. You don’t need a separate channel, a separate account, or a translator for this. Fixed system messages such as reminders go in Turkish to clients who write in Turkish and in English to everyone else. Even when the AI switches language, it preserves the health tone and boundaries; it doesn’t recommend a procedure in another language either, and doesn’t promise results.

After-hours requests, reminders and no-shows

The most concrete benefit of channel automation at an aesthetic center is reducing no-shows. The AI doesn’t just book the consultation; an automatic reminder goes out 1 day and 2 hours before. The one-day message asks "1 Yes · 2 Reschedule · 3 Cancel" and carries a change/cancel link; clients reminded a day ahead miss fewer appointments. If the client lets you know in advance that they can’t make it, the time frees up in the calendar. If the client still does not show and you mark attendance in the panel (at least one "Attended" in the last 30 days), the client who did not show gets a rescheduling message with up to 3 options from your real open times and an appointment management link. If you do not mark attendance, this message is not sent, because "missed" would only be a guess. Reminders run on paid plans; on the Free plan automations are off. You can find the details of this engine in aesthetic consultation and appointment automation.

Channel setup strategy

The best approach is to turn on automation before you enter a busy period. In practice, we do it like this:

  1. First prepare the knowledge base and the consultation appointment system. Have service descriptions, preparation instructions, working hours and appointment types defined in the panel. We covered the details in AI training for aesthetics.
  2. Start with DM and WhatsApp. WhatsApp connects with a QR; DM replies are already on once Instagram is connected. Most centers handle consultation traffic from here.
  3. Check the comment switch. Comment replies are switched on or off with the "Instagram comments" switch on the Instagram card; this switch is on by default. If you connected Instagram before September 24, 2026, reconnect it once; then watch the AI’s tone on low-risk, neutral comment replies.
  4. Choose the account mode. A new healthcare account starts in Full approval: every reply on WhatsApp, Instagram and Telegram, and any action the AI would take (such as booking), waits for your approval in Decisions › Approval Queue; in this mode web chat replies wait in the same queue and appear in the visitor's chat window once approved, if it is still open. When it lacks the information, it does not invent an answer; it hands the conversation to your team. Once you see yourself approving drafts unchanged, switch to Intern: it sends replies itself and asks you before a cancellation or refund. The setting lives under My business › Instructions › AI Settings › "Advanced AI Settings".
  5. Review and turn fixes into rules. In the first weeks, take a short daily look at replies in AI Test and in Conversations. When you see a wrong or missing answer (a procedure name, an informational sentence, a consultation routing), add the fact to the knowledge base or write a rule in AI Rules. Approvals and corrections in the Label Manager are kept as a quality record; they do not change how the AI writes replies today.

With this flow, the system settles in before the rush. Instead of putting out fires, your team focuses only on the conversations that truly need a human, especially a specialist.

How is the boundary preserved?

In aesthetics, the most critical matter is that the AI does not cross the line: it must not give medical advice, guarantee results, or invent a price. In inTusell this boundary is two-layered.

The main control is in the system prompt: health mode instructs the AI from the start to "don’t diagnose, don’t recommend a procedure/treatment, don’t promise results, don’t invent a price/fact you’re not sure of, route the medical question to the specialist." On top of that, as a second safeguard, a medical safeguard layer runs: it scans and flags misleading expressions like "guaranteed result", "will definitely go away", "no side effects", "Ministry of Health approved" with a pattern scan and a second-model check. Think of this layer as a watcher rather than a blocking wall: it detects and flags the risky expression, while the system prompt still sets the actual tone and boundary. So even if you forget to write a rule, the health mode instructions still apply; the filter is an extra safety layer, not a guarantee.

The same logic applies to price: the AI doesn’t market the procedure fee in a public channel and doesn’t invent a figure it doesn’t know; in a typical setup it defers the price to after the consultation or routes it to the live team. For inTusell’s own plans, see the pricing page.

What it isn’t

To avoid putting it in the wrong category, let’s be clear:

  • It is not a bulk-message / spam tool. inTusell is an assistant that responds to incoming requests; it doesn’t send unsolicited bulk DMs.
  • It is not a simple keyword-driven chatbot. It’s not a "when this is typed, say that" scenario tree, but a client assistant that understands the request.
  • It is not a system that changes your number. Your WhatsApp number stays the same; the client notices no difference.
  • It is not a system that gives medical advice or recommends a procedure. It doesn’t diagnose, doesn’t say "this would suit you", doesn’t promise results; it leaves the medical decision and assessment to the specialist.
  • It is not a tool that diagnoses from a photo. Even if the client sends a "before" photo, the AI won’t assess it and recommend a procedure; it logs the photo for specialist assessment and routes to a consultation.
  • It is not a tool that replaces the center. The center always provides the service; inTusell is the response and appointment layer.

Frequently asked questions

Do I need to change my WhatsApp number?

No. You connect your existing center WhatsApp number by scanning a QR code from your phone; the number stays the same, and the client notices no difference. You don’t need to get a new line.

Is Meta Business approval required for WhatsApp?

With the QR method no Meta Business approval is needed; you just scan the code with your phone. The official line (Cloud API) opens after Meta approval. Instagram connects through Meta login: you pick your Facebook Page and Instagram account, with no keys or tokens to copy.

Does the AI also reply to comments on before/after posts?

Yes. Comment replies are switched on or off with the "Instagram comments" switch on the Instagram card, and that switch is on by default; DM replies are already on once Instagram is connected. If you connected Instagram before September 24, 2026, you need to reconnect it once; until then no comment gets an AI reply. To avoid discussing price and medical details in public, in the typical flow the AI leaves a short reply on the comment and invites the client to send a DM. When the client sends a DM, the conversation continues there.

What happens with a client writing from abroad?

Whatever language the client writes in, the AI replies in that language. For international (health tourism) traffic in laser, skincare and medical aesthetics, you can respond in English, Arabic or German without setting up a separate channel. Fixed system messages such as reminders go in Turkish to Turkish speakers and in English to everyone else.

Does the AI give everyone who messages medical information or a procedure recommendation?

No. The AI does not diagnose, does not recommend a procedure/treatment, and does not promise results; it handles consultation, service information and routing. It leaves questions like "what would suit me" to the specialist; in addition, a medical safeguard layer scans and flags misleading health claims.

When does the AI hand off to a human / specialist?

The AI hands off when it is unsure or a person is needed; a medical assessment or a sensitive situation goes to the team and the specialist. Handoffs land on the Decisions screen with the full conversation history. You choose the account mode. A new healthcare account starts in Full approval: every reply on WhatsApp, Instagram and Telegram, and any action the AI would take, waits for your approval. Once you switch to Intern, it sends replies itself and asks you before a cancellation or refund.

Next step

Connecting the channels is half the job; the real difference is in training the AI correctly. To set up the service information, the consultation appointment system, the tone and the health boundaries, start with the series’ main article AI training for aesthetics, then see the daily operations in how an aesthetic center uses inTusell. To go deeper on the appointment and no-show side, take a look at aesthetic consultation and appointment automation. Because aesthetics is a sub-branch of the clinic, the main health guide clinic AI training applies too. You can find the full aesthetics solution on the aesthetic / beauty center page, and follow the whole series via all articles.
