Insurance quote and policy renewal automation guide
Insurance quote and policy renewal automation: the AI collects quote requests and follows up quiet leads; you run renewals with reminders and campaigns.

In an insurance agency, revenue leaks from two places: the incoming quote request that gets collected incompletely and goes cold, and the customer whose renewal is approaching who quietly moves to another agency. If someone writes "how much is comprehensive cover?" at 11 PM and gets no reply, they won’t wait until morning: they’ll write to another agency. And if you don’t reach the customer who took out a policy with you last year as their expiry nears, they renew with the first agency they see in an ad. Most offices try to run all this on an advisor’s memory, an Excel list, and one-by-one WhatsApp exchanges. That is exhausting, inconsistent, and easy to forget. This article explains how you build the agency’s follow-up routine on inTusell with insurance quote and policy renewal automation, from collecting the incoming quote request in full to renewal reminders for your team, from the follow-up flow to handover to a human. This piece is the engine leg of the insurance section of our sector-based "how to train your AI" series; for the series' insurance pillar, see how an insurance agency trains inTusell’s AI.
Quick answer
inTusell is an AI sales assistant and CRM, not a simple chatbot. In insurance it takes on two jobs: it collects what a quote needs for the agent without stating a premium, and it writes up to 3 follow-up messages to a quiet lead. It doesn’t track policy end dates itself; you run renewals with staff reminders and campaigns.
Why follow-up automation
There are two reasons to move follow-up to inTusell in insurance: so that quote requests don’t go cold unanswered, and so that renewal dates aren’t forgotten. In manual mode, everything depends on the advisor’s memory, an Excel column, and working hours. In inTusell the request is handled 24/7, the needed information is collected in full, a quiet lead gets follow-up on its own, and the renewal date reaches the team through a reminder on the contact card.
Think of the concrete difference this way:
| Situation | Manual flow | Automatic flow (inTusell) |
|---|---|---|
| Response to a quote request | During working hours, if the advisor is free | 24/7, from the channel the customer wrote on |
| Information gathering | Stays incomplete, asked again | Required fields collected in full |
| Premium | Advisor may give a hasty estimate | AI does not state a premium, agency finalizes |
| Renewal tracking | A forgotten row in Excel | A staff reminder on the contact card; the representative is notified when it is due |
| No-show / empty slot | Lost hour | Rescheduling message with 3 open times to the customer who did not show |
| Claim / firm quote | Gets muddled | Handed off to Decisions, run by the agency |
This is where inTusell’s "not a chatbot, but an experienced insurance assistant" positioning becomes concrete. A good assistant collects the right information in full from whoever requests a quote and doesn’t state a premium out of thin air. It also reminds the team about the customer whose renewal is due.
Who is it for?
- Agencies that receive dozens of quote requests a day from Instagram and WhatsApp and can’t keep up with "how much, when does my policy expire" messages.
- Solo or small-team agencies and brokers that lose requests arriving after hours, answered too late to ever become a quote.
- Teams that have to collect different information fields across different lines such as motor, comprehensive, earthquake (DASK), home, health, and life.
- Offices that struggle to run many renewal follow-ups by hand at once, wrestling with "who was due to renew this month."
No technical knowledge is required; setup is done from the panel.
1. Collecting the quote request in full
The insurance-specific first step of the follow-up routine is collecting the incoming quote request in full, without stating the premium. When the customer writes "how much is comprehensive cover?", the AI doesn’t give a figure directly, because the premium varies by person and risk information, and the AI does not make it up. Instead it uses the line-of-business information you uploaded to your knowledge base to see which fields are required, and collects them in order.
The information typically collected by line of business:
| Line of business | Information the AI collects | Result |
|---|---|---|
| Comprehensive / Motor | Plate, registration details, model year, current policy | Complete quote request to the agency |
| Earthquake (DASK) / Home | Address, square meters, construction type, floor | Complete quote request to the agency |
| Health / Life | Age, coverage preference (the representative takes the health declaration) | Complete quote request to the agency |
| Workplace / Commercial | Activity, turnover, risk information | Multi-step quote request to the agency |
The critical point: the AI only collects the quote request; the agency finalizes the premium and the firm quote. You never have to give a customer a wrong figure and then walk it back: in insurance, that’s the foundation of trust. Instructions set this behavior up from the start. We explained how to tell the AI which information to collect for which line, and not to state the premium, in how an insurance agency trains inTusell’s AI. To see what a nighttime request looks like once it is ready and complete by morning, read how an insurance agency uses inTusell.
2. CRM record: every quote request is a customer card
The collected quote request doesn’t hang in the air; inTusell ties every conversation to a CRM record. The customer’s name, channel, the line they’re interested in, and the collected information all accumulate on a single card. So when the same customer writes a week later "what happened to that comprehensive quote?", the history isn’t lost; the advisor opens the card and continues from where they left off.
The CRM record is the backbone of follow-up. On each customer’s card you keep notes like "awaiting comprehensive quote" or "had a price objection," and you attach a dated job such as a renewal to the same card as a staff reminder. The card moves along a pipeline: the stages that come ready for finance and insurance are New Application, Needs Analysis, Quote Prepared, Documents Collected, Awaiting Approval, Policy / Contract and Completed.
3. Policy renewal: reminders for the team, information intake for the AI
In insurance, the most valuable yet most-missed opportunity is renewal. If the customer who took out a policy with you last year hears nothing from you as the expiry nears, they renew with the first quote they see.
Let’s be clear about how it works today:
- inTusell does not watch the policy end date and does not send the customer a renewal message on its own. There is no separate expiry-scanning engine.
- You set the renewal time as a staff reminder on the contact card or from the conversation screen ("Ms. Ayşe’s auto policy, write on March 15"). When it is due, the notification goes only to the representative in charge; every morning at 09:00 a single summary goes to whoever has work that day. The reminder sends the customer nothing; you or your team write to the customer.
- If you want to send a renewal announcement to a group of customers, you write your goal to the AI Campaign Builder; it suggests the segment, message and channel, and you approve or correct. Promotional messages go only to people with marketing consent.
- When the customer writes, the AI collects the up-to-date details (has the vehicle changed, is the address the same, was there a claim) and hands the complete quote request to the representative.
For long-silent past customers there is also a win back past customers feature (beta, off by default). If you turn it on, people with no contact for at least 30 days and with marketing consent receive a plain message prepared for your sector; in insurance it says "if your renewal date is approaching, send us your details for a comparison." The AI does not write this message and it does not know the policy date; replies are sorted automatically and interested people are flagged to your team.
This approach is realistic and unembellished: the AI is not an expiry radar, but the renewal date lands in front of your team, and the moment the customer writes, the quote details are collected in full.
4. The follow-up flow: winning back the one who says "let me think about it"
You sent the quote but the customer said "let me think" and went silent: this is where insurance is most often lost. Proactive follow-up handles that silence: a customer who got information and doesn’t reply receives up to 3 follow-up messages written by the AI. They aren’t templates; they are written from the conversation’s context. Wait times are set by sector, in insurance the gaps are measured in days, and the messages go out only within business hours (your appointment hours, otherwise 09:00-21:00 local time).
Follow-up goes on WhatsApp, Instagram or Telegram, not over web chat. It stops when the customer replies, books an appointment or says "don’t message me"; someone who says "don’t message me" gets no follow-up for 90 days. It’s not mass spam but a targeted touch to a lead who went quiet. If you upload sales call recordings and mark them won or lost, the AI uses the technique from the won calls in its replies, so the language moves closer to your own sales style instead of a robotic "are you still interested?"
5. When an appointment is needed: the quote meeting and reminders
Most quotes are completed over WhatsApp; but in some cases (a comprehensive health policy, a commercial package, claim consulting) a quote meeting is needed. Then quote follow-up merges with the appointment engine.
The AI does not give times out of thin air. It first collects the date, time and topic of the meeting. What happens next depends on your account: if the AI booking tools are on, it checks the working hours you defined and the booked times and books the free slot itself; if not, it passes the request to your team with those details, and you confirm the time or the customer picks a free slot on your online booking page. To see which applies, ask for a meeting in AI Test. The system prevents two appointments from landing on the same time (double-booking). Two reminders are automatically scheduled for every appointment:
- 1 day before: A short message reminding of the next day’s meeting, with date and time.
- 2 hours before: A second reminder sent the same day, shortly before the meeting.
The 1-day message asks for confirmation with "1 Yes · 2 Reschedule · 3 Cancel", the reply is recorded on the appointment, and the message carries a change/cancel link. The reminder goes first on the channel the customer wrote on (WhatsApp, Instagram DM, Telegram); if an SMS provider is set, SMS follows, and then email. Reminders run on paid plans; on the Free plan automations are off. If Google Calendar is connected, the appointment is copied one-way to the agency’s calendar (inTusell → Calendar); an event you add in Google does not block the slot in inTusell. For the full detail of the appointment engine (appointment types, working hours, conflict prevention, and calendar sync) see the solutions page and the insurance solution page.
6. No-shows and rescheduling
If the customer did not show up for the quote meeting, you mark the appointment with the "No-show" button in the Agenda or Day view; an appointment still not marked "Attended" about 2 hours after it ends also counts as missed. After that:
- Pending reminder jobs are cancelled (no longer needed).
- The Google Calendar event is not deleted; the event is deleted only when the appointment is cancelled.
- If you mark attendance in the panel, the customer who did not show gets a rescheduling message with 3 numbered options from your real open times and an appointment management link.
- The customer is placed into the follow-up flow ("follow-up needed").
This message has one condition: if you have not marked any appointment "Attended" in the last 30 days, "missed" is only a guess and the message is not sent, because telling someone who did come "we missed you" is worse than not writing at all. It is also not sent if reminders are off for that appointment or the customer has turned off service notifications. The customer can move the missed appointment to a new time from their own link within 7 days.
7. Handover to a human: claims and firm quotes stay with the agency
The most important boundary of the follow-up routine is where the AI stops and hands over to the agency. There are three account-wide modes (My business › Instructions › AI Settings › Advanced AI Settings):
| Mode | Behavior | When |
|---|---|---|
| Intern (default) | Sends replies itself; asks you before a cancellation or refund | The starting point for most agencies |
| Senior | Also handles cancellations and refunds itself | When you trust the AI’s decisions |
| Full approval | On WhatsApp, Instagram and Telegram every reply waits for your approval | The first days or a busy renewal period |
Conversations involving a claim file, payment, policy cancellation, and those requiring a firm quote go to the agency; the handoff lands on the Decisions page with the full history. If you want a single conversation to behave differently, you put it in Approval, Shadow or Paused mode. Insurance is also a regulated field, so the AI does not give individual insurance advice. It does not say "buy this policy" or "this coverage is enough for you." It informs about coverages and processes, and directs the final risk assessment and quote to the authorized agency. Just as it routes to a specialist in law and health, it protects this boundary in insurance from the start. You can find the detail of this handover logic and channel setup in Instagram and WhatsApp quote automation for insurance.
What it isn’t
- It is not a premium calculation / policy comparison engine. It does not state the firm premium and does not publish price comparisons; it collects the quote request in full, and the agency finalizes the price.
- It is not an automatic expiry-scanning system. It does not watch policy end dates and write to customers on its own; it puts the dated renewal job in front of your team through the reminder on the contact card.
- It does not offer the freed time to other customers. The missed slot opens up again in the appointment book; the rescheduling message goes only to the customer who did not show.
- It is not an insurance advisor. It does not perform individual risk assessment and say "buy this"; it informs and leaves the final advice to the authorized agency.
In short: not a magic expiry radar running in the background, but an AI sales assistant and CRM that collects the quote request in full, follows up a quiet lead within business hours, and hands over to the agency where it doesn’t know.
Frequently asked questions
Does the AI track the policy renewal date on its own?
No. inTusell does not watch the policy end date or write to the customer on its own. You set the renewal time as a staff reminder on the contact card; when it is due, the notification goes only to the representative in charge, and you or your team write to the customer. For a renewal announcement to a group of customers, you prepare a campaign with the AI Campaign Builder and approve it; the message goes only to people who gave consent.
Does the AI quote the premium itself when collecting a quote request?
No. The AI does not calculate premiums and does not state an exact amount. It collects the information you defined for the quote (such as plate, registration details, age, address, current policy) in full and passes it to the agency; the agency finalizes the price. Because the premium varies by person and risk, the AI does not make it up.
What happens to a quote request that arrives at night?
The AI replies after hours too; it answers a nighttime "how much is comprehensive cover, my policy expires tomorrow" message, collects the information needed for the quote, and passes it to the agency. When the team arrives in the morning, the quote requests are waiting complete in the inbox; a request is not left unanswered until morning.
Through which channel is the follow-up message sent?
Follow-up messages to a quiet lead go on WhatsApp, Instagram or Telegram, only within business hours; no follow-up goes over web chat. Appointment reminders go first on the channel the customer wrote on; if an SMS provider is set, SMS follows, and then email.
What does the AI do on a matter requiring a claim file or a firm quote?
It hands over to the agency. Conversations involving a claim file, payment, policy cancellation or a firm quote land on the Decisions page with the full history. Whatever the account mode (Intern, Senior or Full approval), the AI gives no individual insurance advice; it informs and directs to the authorized agency.
Are customer and policy data safe with respect to KVKK?
Data is stored encrypted and each business’s data is kept separate from the others. You download your account data with "Download My Data (KVKK)" and manage the KVKK notice your customers receive, with your own privacy link, under "Legal notices". Uploading sales call recordings requires explicit consent; phone, email, ID and card numbers are masked in the transcript.
