Instagram DM and WhatsApp automation for insurance agencies

Instagram DM and WhatsApp automation for insurance agencies: quote requests in one inbox, the AI collects details 24/7, the agency issues the quote.

An insurance agent explains coverage to a young couple holding their car keys while a face-down phone glows indigo.

Tuesday afternoon, an insurance agency’s Instagram inbox: "How much is comprehensive auto?", "When does my traffic policy expire?", "Is earthquake insurance mandatory?". At the same time, five people are writing to WhatsApp, and "price?" comments are dropping under the latest post. In insurance, a quote query is a matter of speed: the customer writes the moment they notice their policy has expired, and if you answer two hours later, they already have a quote from another agency. This article explains how to set up insurance agency Instagram DM automation on inTusell, along with WhatsApp and comment replies: in field-tested steps that need no technical knowledge.

This article is the channel leg of the insurance chapter of our sector-by-sector "how to train your AI" series. You’ll find the AI training side in the pillar article insurance AI training, and daily operations in the how an insurance agency uses inTusell article.

Quick answer

Summary

inTusell is an AI sales assistant and CRM that answers WhatsApp, Instagram and web chat messages and follows each customer through the sales pipeline. For an insurance agency, DMs, comments and WhatsApp share one inbox; the AI replies 24/7 in the customer’s language, collects what a quote needs, never invents a premium and hands the final quote to the agent.

The channel reality of an insurance agency

A quote query doesn’t come from a single channel. A comprehensive-auto campaign post gets noticed and comments start dropping; someone else sees the same campaign and writes on WhatsApp; a third reaches you through the chat bubble on your website. In quiet weeks, this scatter is manageable. It isn’t in the weeks when renewals pile up and you’re running a campaign.

inTusell gathers all of these channels in a single inbox and connects all of them to the same AI sales assistant. The emphasis here matters: this is not a chatbot, but an assistant trained to behave like an experienced agency assistant. Before talking about a premium, it asks about the need (which branch, which vehicle or home, when the policy expires). Then it collects the information needed for a quote in full and moves the prospect to a meeting with the agent. The most critical boundary in insurance is this: the AI does not state the exact premium; it collects the quote request, and the agency always issues the final quote.

Who is it for?

This article is for insurance operations that can’t fit the speed and volume of incoming quote queries into a single channel. Typical profiles:

  • Agencies and brokers that get dozens of quote requests a day on Instagram and WhatsApp but can’t answer all of them on time.
  • Offices flooded with comments on campaign posts in the traffic, comprehensive auto, earthquake and home branches, who can’t keep up with the "price?" comments.
  • Agencies working with foreign customers (travel insurance, foreign health policies) that lose queries because they can’t reply in multiple languages.
  • From a one-person agency to a multi-person brokerage; channel count is never charged, and the benefit grows as branches and channels increase.

Connecting WhatsApp: QR or linking code today, the official line after Meta approval

WhatsApp is the busiest channel in insurance: quotes, document photos and renewal talk mostly run through it. Today you link it with a QR code or with a linking code for your phone number, and for most agencies that is enough.

MethodSetupMeta Business approvalSuited to
QR code or linking codeScan a QR code with your phone or type an 8-character codeNot requiredMost agencies that want to keep their existing number
Official line (Cloud API)Opens after Meta approvalRequiredHigh-volume brokers that want the official line

The QR method works like connecting WhatsApp Web: in the panel you go to My business › Channels › Messaging Channels and click "Connect with QR", then on your phone open WhatsApp › Settings › Linked Devices › Link a Device and scan the square. If the panel is open on the same phone, choose "Link with phone number" in the same window: enter your number, press "Get code", and an 8-character linking code appears; on the phone’s Link a Device screen tap the option to link with a phone number and type the code. The number stays the same and your phone keeps working. There is no change on the customer side; they keep writing to the same number. There is no need to change the number that has been printed on your policies, business card and posts for years, or to get a new line.

A few things to know. If the phone stays offline for a long time, the link can drop; the panel warns you and the link in the warning reopens the QR window. The AI works only in one-to-one chats, never in WhatsApp groups. Each plan includes 1 WhatsApp line; a second line per branch or advisor is a paid add-on. The official WhatsApp line (Cloud API) opens after Meta approval; today you connect with a QR code or a linking code.

Instagram DM automation

Instagram connects through Meta login: in the panel you click "Connect All" or the Instagram tile, then pick your Facebook Page and Instagram account on the Meta screen, with no keys or tokens to copy. The account must be Professional and linked to a Facebook Page.

DM replies are on as soon as Instagram is connected, with nothing else to switch on: the AI responds to incoming direct messages. If you don’t want the AI to answer DMs, turn off "Instagram DM" under "Per-Channel AI Control" in Advanced AI Settings; messages still drop into your single inbox and the agent responds. We don’t promise a reply time in seconds on Instagram: for most business accounts Instagram messages are fetched at intervals, which can take a few minutes.

DM is the most natural quote channel in insurance: the customer sees your comprehensive-auto campaign in a story and writes privately, "can I get a price?" The AI then clarifies which branch and which vehicle, collects the information you defined for a quote (such as license plate, registration details, policy end date) and forwards the complete request to the agent. It doesn’t state the premium there; collecting information and giving a quote are separate jobs.

Instagram comments: a separate switch and an invitation to DM

In insurance, post comments are a hidden quote channel. "How much is comprehensive auto?", "Earthquake insurance price?", "How much is traffic this year?" comments accumulate under campaign posts, and most go unanswered.

In inTusell, comment replies are switched on and off with the "Instagram comments" switch on the Instagram card; the switch is on by default. We manage comments separately for an operational reason. The premium in insurance changes by person and by risk, so discussing a price under a public comment isn’t right; many agencies prefer to give a short reply and invite the customer to DM. The AI writes one short public reply to each comment; it does not reply to spam comments that carry links, which you hide or delete from the panel. Replying by private message (Reply with DM) opens after Meta approval. If you connected Instagram before September 24, 2026, the panel shows a "Reconnect Instagram to manage comments" warning; until you reconnect once, no comment gets an AI reply.

The typical flow is set up like this:

  1. The customer writes "how much is comprehensive auto?" under a post.
  2. The AI leaves a short, public reply on the comment ("Send us a DM for a quote tailored to your vehicle").
  3. When the customer sends a DM, the conversation continues there and the AI replies; the license plate, registration and required information are taken and the quote request is forwarded to the agent.

This way the premium never appears in the public feed, and it becomes harder for a competing agency to spot your customer in the comments and step in. The quote conversation continues in private.

A single inbox (web chat, Telegram)

Instagram and WhatsApp are the busiest, but not the only channel. inTusell gathers all of these channels in the same inbox:

ChannelConnection methodTypical insurance agency use
Instagram DMMeta loginQuote queries after campaign stories/Reels
Instagram commentsMeta login + separate switch (on by default)"Price?" comments under posts
WhatsAppQR or linking code; official line after Meta approvalThe busiest quote and renewal channel
TelegramBot connectionCustomers writing one-to-one through the bot
Web chatWidget on the siteAgency site visitor queries

Facebook Messenger is on the way.

For the agency this means one thing: the team doesn’t jump between different apps. All conversations appear on a single screen, with the same customer history. If a customer asks about comprehensive auto on WhatsApp and then continues about earthquake insurance on Instagram, you don’t get two separate conversations but a single context: the branches they asked about and the details they gave stay in one place, together with the notes your team adds to the contact card.

You can see in detail how the channels work and what they integrate with on the solutions and integrations pages.

24/7 and multilingual responses

A significant portion of quote queries comes outside business hours: the person who notices in the evening that their policy has expired writes at night, and the customer abroad asks about travel insurance across the time difference. The human team sleeps; the AI doesn’t. A "my policy expires tomorrow, can I get a quote right away" message that arrives at 10 p.m. isn’t left waiting until morning. The AI collects the necessary information, and when the team arrives the next morning, the complete quote request is waiting in the inbox.

Multilingual replies are decisive for agencies working with foreign customers. The AI replies in whatever language the customer writes in: English to someone writing in English, Russian to someone writing in Russian, Arabic to someone writing in Arabic. You don’t need a separate channel, a separate account or a translator for a travel insurance or foreign-national health policy query. A single "ok" or "hi" doesn’t switch the language; fixed system messages such as reminders go in Turkish to Turkish speakers and in English to everyone else.

From quote request intake to renewal tracking

The most concrete benefit of channel automation in insurance is not just answering the query, but collecting the quote request in full and moving the right prospect to the agent. After collecting the branch, vehicle or risk and contact information, the AI forwards the request to the agent; the agent issues the final quote. A customer who got information and went quiet receives up to 3 follow-up messages written by the AI; they go out only within business hours on WhatsApp, Instagram or Telegram and stop when the customer replies or says "don’t message me."

Let’s be clear about renewals: inTusell has no renewal engine that messages a customer on its own based on the policy end date. You run renewal tracking with a staff reminder set on the contact card ("write to Ms. Ayşe about her auto policy on March 15") or with an announcement you prepare for consenting customers with the AI Campaign Builder; when the customer writes, the AI collects the quote details. You’ll find the details in the insurance quote and policy renewal automation article.

Channel setup strategy

The best approach is to turn on automation before a busy renewal period starts. Here is the order we use in the field:

  1. Prepare the knowledge base first. Define the branches you work in, your coverage scopes, the documents needed for a quote and your business hours in the panel. We explained the details in the insurance AI training article.
  2. Start with DM and WhatsApp. WhatsApp links with a QR code or linking code, Instagram with Meta login; DM replies are already on once Instagram is connected. Most agencies handle their quote traffic from here.
  3. Check the comment switch. The "Instagram comments" switch on the Instagram card is on by default, and you switch it on or off at Integrations > Instagram. If you connected Instagram before September 24, 2026, reconnect it once; then observe the AI’s tone on low-risk comment replies.
  4. Choose the operating mode. New accounts start in Intern mode: the AI sends replies itself and asks you before a cancellation or refund. If you want to see every reply in the first days, switch to Full approval; you can put a single conversation about a claim or a dispute in Approval or Paused mode. The agent only looks at exact quotes, claims files and handed-off conversations.
  5. Review and turn fixes into rules. In the first weeks, take a short look at replies in AI Test and in Conversations. If you see a wrong or missing answer, add the fact to the knowledge base or write a rule in AI Rules; the way you explain coverages and your information-collection flow build up the same way. Approvals and corrections in the Label Manager are kept as a quality record; they do not change the AI’s replies on their own.

With this flow, the system settles in before the rush hits; instead of keeping up with quote questions, your team focuses only on conversations that genuinely require the agent: exact quotes, claims, needs analysis.

What it isn’t

To avoid putting it in the wrong category, let’s clarify:

  • It is not a bulk-message / spam tool. inTusell is an assistant that responds to incoming queries; it does not send unsolicited bulk DMs. A customer who goes quiet receives up to 3 follow-up messages, only within business hours; they stop when the customer says "don’t message me."
  • It is not a premium-calculation engine. It does not state the exact premium; it collects the information needed for a quote, and the agent finalizes the price.
  • It is not a simple keyword-based chatbot. It’s not a "say this when they type that" script tree; it is an AI sales assistant and CRM that answers messages on WhatsApp, Instagram and web chat and follows each customer through the sales pipeline.
  • It is not a system that changes your number. Your WhatsApp number stays the same; the customer notices no difference.
  • It is not an intermediary that gives insurance advice. It informs about coverages, but doesn’t say "buy this policy"; it always directs the individual risk assessment and the final quote to the licensed agent.

Frequently asked questions

Do I need to change my WhatsApp number?

No. You link your existing agency WhatsApp number with a QR code or with an 8-character linking code sent for your phone number; the number stays the same, your phone keeps working, and the customer notices no difference. There is no need to change the number printed on your policies and business card.

Is Meta Business approval required?

Not for WhatsApp: linking with a QR code or a linking code needs no Meta Business approval. The official WhatsApp line (Cloud API) opens after Meta approval. Instagram connects through Meta login: you pick your Facebook Page and Instagram account, with no keys or tokens to copy.

Does the AI reply to comments under posts too?

Yes. The AI writes one short, public reply to each comment and does not reply to spam comments that carry links. Comment replies are switched on or off with the "Instagram comments" switch on the Instagram card, and it is on by default. If you connected Instagram before September 24, 2026, you need to reconnect once. To avoid discussing the premium in public, the typical flow is to give the comment a short reply and invite the customer to DM.

What happens with a customer writing in a foreign language?

The AI replies in whatever language the customer writes in. You don’t need to set up a separate channel or a translator for a travel insurance or foreign health policy query coming in English, Russian or Arabic from abroad.

Does the AI invent premium or coverage information?

No. The AI speaks only from the coverage and process information you have loaded into your knowledge base; it will not invent a premium, scope or claims outcome it is unsure about. It does not state the exact premium; it collects the quote request. When it is unsure, it says so clearly and hands off to the agent.

When does the AI hand off to the agent?

When the AI is unsure or a person is needed (an exact quote, a claims file, a policy cancellation, an individual risk assessment), it hands the conversation to the agent; the handoff lands on the Decisions page with the full history. You choose the account mode: Intern (default) sends replies itself and asks you before a cancellation or refund; Senior handles those itself too; in Full approval every reply on WhatsApp, Instagram and Telegram waits for your approval.

Next step

Connecting the channels is half the job; the real difference is in training the AI right. To set up the branch and coverage information, the quote flow and the tone, start with the pillar article insurance AI training, then see daily operations in the how an insurance agency uses inTusell article. To go deeper into quote request intake and renewal tracking, you can look at the insurance quote and policy renewal automation article, and review the pricing page for packages and quotas. For the sector page, insurance solution; for the whole series, all articles. If you’d like to see a similar setup in other sectors, the tour agency AI training and clinic AI training articles are a good place to start.
