Instagram DM and WhatsApp automation for tour agencies
Instagram DM, comment and WhatsApp automation for tour agencies: collect peak-season messages in one inbox and answer them 24/7 with AI. The field setup.

Mid-May, a tour agency’s Instagram inbox: "Is Cappadocia available for 3 nights?", "What’s the child price?", "Do I need a visa?". At the same time, five people are messaging on WhatsApp, and ten new comments have landed under the latest post. At peak season, the message flood is a mathematical fact: a human team can’t reply to every message within two minutes, and a query answered late goes not to a booking but to a competitor. This article explains how to set up Instagram DM automation for tour agencies on inTusell, along with WhatsApp and comment replies: in field-tested steps that need no technical knowledge.
This article is the channel pillar of the tourism section of our sector-by-sector "how to train your AI" series. You’ll find the AI-training side in the series’ main article, how a tour agency trains its AI, and the day-to-day operation in the how you use inTusell article.
Quick answer
A tour agency connects Instagram DMs and comments, WhatsApp, Telegram and web chat to inTusell in one inbox. WhatsApp links with a QR code or an 8-character linking code, with no Meta Business approval; Instagram connects through your Meta account. The AI replies 24/7 in the customer’s language and hands off when unsure; with the tour module (beta) on, it quotes only from the catalog.
The channel reality of a tour agency
Tour sales don’t come from a single channel. A Reel goes viral and the comments explode; someone else who saw the same campaign writes on WhatsApp; a third person reaches you through the chat bubble on your website. Off-season, this scatter is manageable. At peak season, it isn’t.
inTusell collects all of these channels in a single inbox and connects each one to the same AI sales assistant. inTusell is an AI sales assistant and CRM that answers messages on WhatsApp, Instagram and web chat, books appointments and opens orders, and follows each customer through the sales pipeline; it is not a simple chatbot. It is trained to behave like an experienced salesperson. Before it talks price, it asks about needs, recommends a suitable tour, and confirms availability.
Who is it for?
This article is for tour operations that can’t fit the speed and volume of incoming queries into a single channel. Typical profiles:
- Tour and travel agencies that receive dozens of queries a day on Instagram and WhatsApp but can’t get back to all of them in time.
- Operations with seasonal peaks: holidays, summer, umrah/hajj periods.
- Agencies that work with foreign tourists and lose queries because they can’t respond in multiple languages.
- From a one-person office to a 20-person call center; the more channels there are, the greater the benefit.
Connecting WhatsApp: QR (no Meta approval) vs Cloud API
WhatsApp is the busiest channel for a tour agency, and there are two paths here. For most agencies, the QR method is enough.
| Method | Setup | Meta Business approval | Who it suits |
|---|---|---|---|
| Linking via QR or linking code | Scan a QR code, or enter the 8-character code sent for your phone number | Not required | Most agencies that want to use their existing number |
| Official line (Cloud API) | Opens after Meta approval | Required | High volume, organizations wanting an official API guarantee |
The QR method works like connecting WhatsApp Web: under Channel Connections › Messaging Channels you click "Connect with QR" and scan the code on your phone in WhatsApp › Settings › Linked Devices › Link a Device. If you signed up on your phone and have no second screen, choose "Link with phone number" in the same window, type your number and press "Get code"; in WhatsApp’s Link a Device screen tap the phone-number option and enter the 8-character code. Either way the number stays the same and your phone keeps working. There’s no change on the customer’s side; they keep writing to the same number. You don’t need to change your number or get a new line. If the phone stays offline for a long time the link can drop; the panel warns you and the link reopens the QR window. The AI works only in one-to-one chats, never in WhatsApp groups.
For high-volume agencies that want an enterprise guarantee, the official WhatsApp line (Cloud API) opens after Meta approval; today you link with a QR code or a linking code.
Instagram DM automation
You connect Instagram with a Meta login: pick the Instagram card under Messaging Channels, log in with your Meta account, then choose your Page and your Instagram account. The Instagram account must be a professional account linked to a Facebook Page. There’s no manual token copying.
DM replies are on as soon as Instagram is connected, with nothing else to switch on: the AI replies to incoming direct messages. If you don’t want the AI to answer DMs, turn off "Instagram DM" in the channel list in the AI settings; messages still land in your single inbox and the live team handles them. This lets you make gradual transitions like "let me test comments first and turn on DMs later."
Instagram comments: a separate switch and an invitation to DM
For tour agencies, post comments are a hidden sales channel. "Price?", "Any dates?", "I sent a DM" comments pile up by the hundreds during the season, and most go unanswered.
In inTusell, comment replies are switched on and off with the "Instagram comments" switch on the Instagram card; the switch is on by default, and DM replies are already on once Instagram is connected. Agencies that connected before September 24, 2026 reconnect Instagram once for comments. We manage comments separately for an operational reason: some agencies prefer to leave a short public reply on comments and invite the customer to DM for the details.
A typical flow is set up like this:
- The customer writes "price?" under a post.
- The AI leaves a short, public reply on the comment ("It varies by dates and number of people, send us a DM for the details").
- When the customer sends a DM, the conversation continues there and the AI replies; the need is asked about and a suitable tour is recommended.
The AI writes one public reply per comment; replying to a comment by private message opens after Meta approval. It does not reply to spam comments with links; you hide or delete those from the panel. This way, no price debate happens in the public space, and the sales conversation continues in private.
A single inbox (web chat, Telegram)
Instagram and WhatsApp are the busiest, but not the only channel. inTusell collects all of the following channels in the same inbox:
| Channel | Connection method | Typical tour agency use |
|---|---|---|
| Instagram DM | Meta login | Queries after Reels/stories |
| Instagram comments | Meta login + separate switch | "Price?" comments under posts |
| QR or linking code; official line after Meta approval | The busiest query and booking channel | |
| Telegram | Bot connection | Customers writing one-to-one on Telegram |
| Web chat | One line of code on the site | Site visitor queries |
Facebook Messenger is on the way.
For the operator this means one thing: the team doesn’t jump between different apps. All conversations appear on a single screen. If the same customer writes on both WhatsApp and Instagram, the panel flags the likely duplicate contact; when you merge the two records, both channels’ history sits on one contact card.
You can see in detail how the channels work and what they integrate with on the solutions and integrations pages.
24/7 and multilingual responses
A significant portion of tour queries comes outside business hours: the person who saw a Reel in the evening writes at night, and the tourist abroad messages across the time difference. While the human team sleeps, the AI keeps replying. A query that arrives at night isn’t left waiting until morning.
Multilingual responses are decisive for agencies working with foreign tourists. Whatever language the customer writes in, the AI replies in that language: German to someone writing in German, Arabic to someone writing in Arabic; a one-word "ok" or "hi" does not switch the conversation’s language. You don’t need a separate channel, a separate account, or a translator for this; a single setup covers every language.
Season strategy: automation during the peak
The best approach is to turn automation on before the season starts. You don’t want to be setting things up in the middle of the message flood once the season has begun. Here is the order we use in the field:
- Fill the knowledge base before the season. Upload tour terms, visa information, the cancellation/refund policy, and frequently asked questions to the Knowledge Base section in the panel. Exact prices, seats and payment work from the catalog: KolayTurum sync or import from your website. We covered the details in the how a tour agency trains its AI article.
- Start with comments. With the "Instagram comments" switch on the Instagram card turned on, watch the AI’s tone on the lower-risk comment replies. DM replies are already on once Instagram is connected; if you don’t want the AI to answer DMs yet, turn off "Instagram DM" in the channel list in the AI settings.
- Turn on DMs and WhatsApp. Once you’re satisfied, turn "Instagram DM" back on in the AI settings and bring WhatsApp online.
- Set the operating mode according to the season. In the default Intern mode the AI sends replies itself and asks you before a cancellation or refund; if you want to see every reply in the first days, choose Full approval. During the peak the AI handles the volume and the team only looks at conversations that land on Decisions.
- Review and turn fixes into rules. In the first weeks, take a short daily look at replies in Conversations. When you see a wrong or missing answer, add the fact to the knowledge base or write a rule in AI Rules; use the Label Manager as a quality record.
With this flow, the system settles in before the peak arrives; during the season your team focuses only on the conversations that genuinely need a human, instead of putting out fires.
What it isn’t
To avoid putting it in the wrong category, let’s be clear:
- It isn’t a bulk-messaging / spam tool. inTusell is an assistant that replies to incoming queries; it doesn’t send unsolicited bulk DMs.
- It isn’t a simple keyword-based chatbot. It’s not a "say this when they write that" script tree, but a sales assistant that understands needs.
- It isn’t a system that changes your number. Your WhatsApp number stays the same; customers notice no difference.
- It isn’t a system that invents prices. In the tour module (beta), the AI quotes only from the price matrix; for a combination not in the matrix it doesn’t invent a price and hands the conversation to your team.
- It isn’t a tool that takes the agency’s place. The seller is always the agency; inTusell is the response and operations layer.
Frequently asked questions
Do I need to change my WhatsApp number?
No. You link your existing WhatsApp number with a QR code or with an 8-character linking code sent for your phone number; the number stays the same, your phone keeps working, and customers notice no difference.
Is Meta Business approval required?
No. Linking WhatsApp with a QR code or a linking code needs no Meta Business approval. The official WhatsApp line (Cloud API) opens after Meta approval. Instagram needs a professional account linked to a Facebook Page; you log in with your Meta account and pick your Page and Instagram account.
Does the AI reply to Instagram comments too?
Yes. Comment replies have their own switch: "Instagram comments" on the Instagram card under Channel Connections › Messaging Channels. The switch is on by default; accounts connected before September 24, 2026 reconnect once for comments. The AI writes one short public reply and invites the customer to DM; replying to a comment by private message opens after Meta approval.
What happens with a tourist who writes in a foreign language?
Whatever language the customer writes in, the AI replies in that language; Arabic and Cyrillic scripts are recognized too. You do not need to set up a separate channel for messages that come in English, German, or Arabic. Fixed system messages such as reminders go in Turkish to Turkish speakers and in English to everyone else.
How many channels can I connect at once?
You can connect them all at the same time, including Instagram DM, Instagram comments, WhatsApp, Telegram, and web chat; they all collect in a single inbox. Channel count is never charged; every plan includes 1 WhatsApp line, and extra lines are a paid add-on.
When does the AI hand off to a human?
When the AI is unsure or a person is needed, for example for a combination that is not in the price matrix, it hands the conversation to your team; the handoff lands on the Decisions page with the full history. Account-wide you pick Intern, Senior or Full approval mode; you can switch a single conversation to Approval, Shadow or Paused.
