Education guide

To use inTusell in an educational institution, create your account, pick the "Education & Training" industry and your institution type, decide whether replies need principal approval and connect WhatsApp and Instagram. Schools and nurseries get a campus tour appointment type and the AI suggests free slots; you define group sessions such as trial lessons in the panel.

Who this is for

  • Private schools, nurseries and preschools, tutoring and study centres, language schools and courses
  • Admissions teams that receive parent and student questions on WhatsApp or Instagram
  • Institutions that run campus tours, trial lessons or open days

Before you start

  • A phone running your business WhatsApp
  • A document or web page with your fees, enrolment conditions and programmes
  • For Instagram: a Professional account linked to a Facebook Page

Sign up and the setup wizard

The wizard has three steps: Company, Channel and Ready. You can skip the channel step and finish it later in the panel.

  1. 1

    Create your account

Sign up on intusell.com. Your account opens with a 14 day trial.

    The inTusell sign-up form
  2. 2

    Tell us about your company

On the "Company" step enter your business name and pick "Education & Training" under "Industry". Add your website if you have one: the AI reads it to learn your products, prices and FAQs.

  3. 3

    Pick your institution type

Institution type and principal approval are not separate steps: when you pick "Education & Training", both open on the "Company" step, right below the "Industry" field. Under "Institution type" pick your type: general course or training centre, private school (K12), nursery and preschool, tutoring and study centre, or language school. Schools and nurseries get an 8 stage admissions funnel, the others a 7 stage sales flow; you can change the type later in My business › Business Info.

  4. 4

    Choose principal approval

On the same screen, below "Institution type", "Principal or administration approval for replies (optional)" has three options. "No approval" is the default and the AI replies to parents on its own. "Sensitive topics only" leaves replies about a discount or scholarship request and about the child’s health, medication or allergy to your approval. "Every reply" puts every reply up for your approval before it is sent.

  5. 5

Connect a channel or do it later

On the "Channel" step pick WhatsApp, Instagram or Web chat. For WhatsApp click "Show the QR code" and scan it with the phone that runs your business WhatsApp; for Instagram click "Connect Instagram" and approve on Facebook; for web chat copy the one-line code (this also turns on your web chat) and paste it into your site. "I’ll connect later" moves on without a channel.

  6. 6

Review how the AI will talk

The "Ready" step shows the tone, the first message and the priorities of your AI. "Go to the dashboard" opens the panel; "Edit" opens the AI settings.

Connect your channels

  1. 1

    WhatsApp with QR

Go to My business › Channels › Messaging Channels and click "Connect with QR". On your phone open WhatsApp › Settings › Linked devices › Link a device and scan the code. Your phone keeps working alongside the panel. The official WhatsApp line (Cloud API) opens after Meta approval; today QR is the way to connect.

  2. 2

    Instagram through Meta

On the same page, in the "Meta Platforms" card, click "Connect All" or the "Instagram" tile. Log in with the Facebook account that manages your business Page. In the Meta window tick your Page and your Instagram account, then approve.

  3. 3

    Check the connection

After you return to the panel the Instagram card shows as connected. If a warning appears, it says what is missing and has a "Reconnect" link.

Campus tours and appointments

  1. 1

    Connect Google Calendar

On My business › Channels › Calendar & Payment, click "Connect with Google" and sign in with your Google account. Only the owner or an admin sees this button.

  2. 2

    Enter appointment types and hours

Open "Manage Appointment Settings" and its "Service Types" and "Working Hours" sections. A 45 minute one-to-one tour type is ready: "Tanışma & Okul Turu" for schools and "Tanışma Ziyareti" for nurseries. Use "Add Type" for any other type.

  3. 3

Let the AI book the tour

When a parent asks for a tour or a meeting, the AI suggests free slots and books the one the parent picks. It shows in the Appointments room, and the parent gets a reminder 1 day and 2 hours before. If the parent came from Instagram and has not written in the last 24 hours, Meta does not accept the message; with the parent’s phone and your SMS provider, or their email, the reminder goes out that way instead.

Group sessions: trial lessons and open days

Setup adds no group sessions. Until you define one, the AI offers no sessions.

  1. 1

    Enter the weekly schedule

In the "Group Sessions: Weekly Schedule" card of the appointment settings, enter the session name, day, start and end time and capacity, then click "Add". The system creates the sessions for the next 28 days itself.

  2. 2

Add an open day as a single session

The weekly schedule repeats every week. For a dated event such as an open day, click "Single session" in the "Upcoming Sessions & Attendees" card, pick the "Open Day" template, enter the date, start and end time and capacity, then click "Add".

  3. 3

Let the AI enrol against remaining seats

The AI offers upcoming sessions with their remaining seats and never offers a full session. Two people cannot take the last seat at the same time.

  4. 4

    Follow the attendees

See each session’s occupancy and attendee list under "Upcoming Sessions & Attendees".

Fill the knowledge base

The AI answers from your knowledge base. Add your fees, enrolment conditions, programmes and class hours, transport and meal details and FAQs.

  1. 1

    Open the Knowledge Base

Go to My business › Knowledge › Knowledge Base.

  2. 2

    Add your sources

Upload files (PDF, Word, Excel, CSV, TXT or images, up to 50 MB), scan your website (it can take 2 to 5 minutes), import your Instagram profile (your last 100 posts) or add a sales call recording.

Rules for parent conversations

An education setup gives the AI rules for talking to parents. Still, check its answers in AI Test.

  1. 1

Fees only from your own sources

The AI states a fee only from your knowledge base, your course list or what you wrote. If it writes an amount without such a source, that sentence is replaced with an honest one before it is sent.

  2. 2

    No enrolment or seat promises

Without proof the AI does not say "I have enrolled you" or "I have reserved your place", promises no discount beyond your written conditions and makes no guarantee or promise of certain results. It also gives no exam, certificate or job guarantee.

  3. 3

Child safety goes to your team

If a parent reports bullying, violence, an injury or a missing child, the AI hands the conversation to your team. For a missing child, an ongoing accident or abuse the parent is first told to call 112, and you are notified even during quiet hours.

  1. 1

    Try it in AI Test

Go to My business › Instructions › AI Test and write the questions your customers ask. Check that the answers use your knowledge base.

  2. 2

    Send a real message

From another phone, send a message to your connected WhatsApp number or Instagram account. The conversation appears under Conversations › Inbox with the AI’s reply.

Daily use

  1. 1

    Start from Today and Decisions

Today shows what needs attention. Decisions collects the questions the AI asks you, for example before a cancellation or when it does not know the answer.

  2. 2

    Follow your work in Appointments

The Appointments room is where your daily work lives. Conversations keeps the Inbox, Contacts and the Sales Pipeline.

  3. 3

Choose how much the AI does

In My business › Instructions › AI Settings, under "How it works", pick the AI mode: Intern (the default) sends replies itself and asks you before a cancellation or refund and when it does not know the answer; Senior also handles cancellations and refunds; Full approval waits for your approval before every reply (email has no approval queue, so the AI does not reply there).

    The AI mode options
  4. 4

    Take over a single conversation

Inside a conversation you can switch it to Live, Approval, Shadow or Paused. The change applies to that conversation only.

Things to keep in mind

  • Setup adds no group sessions; until you define a trial lesson or open day, the AI offers no sessions.
  • Reminders, confirmation questions and no-show messages go out on the trial and on paid plans; on the Free plan they are not sent to customers and your settings stay.
  • If your knowledge base has too little, the AI may fall back to general education information that your institution has not approved. Upload your own material to the knowledge base.
  • In education the menu shows Courses instead of Products; add your courses under My business › Knowledge › Courses.

Common problems and fixes

Problem: The AI does not offer trial lessons.
Fix: Check that the "Group Sessions: Weekly Schedule" card has at least one active session, or that an upcoming session was added with "Single session"; without one the AI offers no sessions.
Problem: The AI does not suggest free slots for tours.
Fix: Check and save the "Working Hours" in "Manage Appointment Settings" and look at the Google Calendar connection on Calendar & Payment. If the tour type is not in the list, add it with "Add Type".
Problem: The AI gives no amount when asked about fees.
Fix: Add your fees to the knowledge base or your course list; the AI does not state an amount without a source.
Problem: Instagram messages are not arriving.
Fix: Check that the Instagram account is Professional and linked to your Facebook Page; use the "Reconnect" link on Messaging Channels.

Frequently asked questions

Does the AI reply to parents on its own?

You decide. The default is "No approval" and the AI replies itself. With "Sensitive topics only" replies about a discount or scholarship request and about the child’s health, medication or allergy wait for your approval; with "Every reply" every reply goes through your approval.

Can I change principal approval later?

Yes. You can change the AI mode at any time under "How it works" in My business › Instructions › AI Settings.

Does the AI promise places or exam results?

No. The AI makes no enrolment or seat promise without proof, relays discount conditions only as written in your knowledge base and makes no guarantee or promise of certain results. It also gives no exam, certificate or job guarantee.

When do reminders go out?

1 day and 2 hours before a tour appointment or a group session. If the parent came from Instagram and has not written in the last 24 hours, Meta does not accept the message; with the parent’s phone and your SMS provider, or their email, the reminder goes out that way instead.

Is student data saved from chat?

Partly. Depending on your institution type, the AI can write fields such as level, grade, age group, target exam or language level to the contact card from chat. A student’s name and birth year are never extracted from chat automatically; your team records them after the parent confirms.
